GallonTracker beta privacy notice

Information involved

Depending on how your station uses GallonTracker, information may include:

• Account and business information supplied by the station.
• Staff and driver information used for authorised access and responsibility.
• Customer and delivery information entered by the participating business.
• Operational transaction records such as deliveries, outcomes, payments, documents, route and stock activity.
• Device and access information used to manage authorised terminals and phones.
• Location information where applicable, enabled, and available for customer pins, transaction audit, or run review.
• Technical and log information needed for security, reliability, and troubleshooting.
• Support communications and public-beta applications.

Why information is used

Information is used to provide and secure the beta, operate requested workflows, synchronise and report authorised station activity, review support issues, assess beta applications, improve the product, and protect users and infrastructure.

Retention

Information is retained only for as long as reasonably needed for the beta, the participating station's operational and support needs, security and audit requirements, dispute handling, and applicable obligations. Retention may differ by information type. A participating business should request guidance before treating GallonTracker as its only legally required record.

Access and security

GallonTracker uses access controls appropriate to Owner, station terminal, and authorised BYOD workflows. No internet service can promise perfect security. Participating businesses must protect devices, credentials, enrolment links, staff access, and the accuracy of information they enter.

Infrastructure and providers

Authorised service and infrastructure providers may process information to host the application, database, email, logs, or support functions. Providers are selected and configured for the service need; this notice does not claim certifications or registrations that have not been established.

Business responsibilities

Each participating station is responsible for having an appropriate reason and authority to enter staff, customer, delivery, payment, and location information and for giving its people any notices required for its operations.
